Virginia Space Flight Academy (“VASFA”, “we”, “us”, or “our”) is a not-for-profit organization dedicated to expanding access to innovative learning experiences, career pathways, and mentorship to advance opportunity and increase interest in science, technology, engineering, and mathematics (“STEM”) careers. We respect the privacy of our STEM participants, campers and their families, volunteers, sponsors and donors (“you” or “your”) and have developed and implemented this privacy policy (this “Privacy Policy”) to describe to you the information we may collect about you on our website at http://www.vasfa.org (the “Site”) or when you use our services, how we use this information, how and under what circumstances we share that information, and your rights under our Privacy Policy.

When you submit information to us or through the Site, you consent to the collection and processing of your information as described in this Privacy Policy. Please read this Privacy Policy carefully to understand our policies and practices regarding your information and how we will treat it. If you do not agree with any part of this Privacy Policy, please do not use our Site.

1. Information We Collect

VASFA collects personal information about you when you voluntarily request information from VASFA, supply information through the Site such as for camp registrations, or otherwise provide information to us in connection with use of our Site or our services, including:

  • Information by which you may be personally identified, such as your name, postal, physical, and email addresses, phone number, demographic information about camp participants (age, gender, race/ethnicity, grade, school name) and their families, emergency contact information, participants’ health information, professional and employment information, purchase, billing and payment information, and any other identifiable information that you choose to submit to us (collectively, “Personal Information”).

  • Information about your Internet connection, IP address, and geolocation data, the equipment and browser you use to access our Site, usage details, the domain from which you link to the site, traffic data, and information collected through cookies (“Usage Data”).

We also use cookies and similar technologies to enhance your experience on our Site. These technologies allow us to store information on your mobile device or computer hard drive so that we can recognize your browser and capture certain information, such as browsing history and activities conducted while using the Site. You can adjust how your Internet browser (like Chrome or Safari) responds to cookies (e.g., to warn you every time a cookie is sent, or to turn off all cookies). 2. How We Receive Information

We collect Personal Information directly from you when you submit forms to us via our Site, such as the Space Adventure Camp or STEM Academy registration forms and scholarship application forms, the join our team forms, volunteer signup and donation forms, when you email us or respond to our emails, connect or link to the Site via social networking sites, or otherwise share your Personal Information with us. We may also collect Personal Information at our onsite events and programs, as well as from third-party service providers that we use to perform certain services on our behalf.

We also collect Usage Data automatically as you navigate through and use our Site for purposes such as determining which parts of our website users access most frequently and tracking user engagement. This Usage Data helps us determine which parts of our website are most beneficial for users, and how we can continually create a better overall experience for you. We use the Usage Data that we collect to operate, improve, and personalize the Site, to provide customer service, and to detect, prevent, and mitigate fraudulent or illegal activities.

3. How We Use Information

VASFA collects, processes, and maintains your personal information in connection with our business and provisioning of services, and to pursue our related legitimate interests and rights, including promotion and marketing of our services. You agree that we may use your Personal Information as follows:

  • to operate our services and provide you with services or information that you request from us;

  • to verify your identity or other information or to obtain parental consent;

  • to communicate with you regarding your volunteer sign-up, registrations, donations, or other voluntary forms or submissions you complete on the Site;

  • to notify you about news, events, and opportunities that may be of interest to you;

  • to detect fraud or illegal activities and other security purposes;

  • to detect, prevent, mitigate, or investigate activity we think may be potentially illegal, unlawful or harmful;

  • to archive and back up our Site;

  • to enable us to comply with applicable legal and regulatory requirements, including national security or law enforcement requirements, or to comply with legal process served on us;

  • to protect our legal rights or property or other users;

  • to better understand how you access and use our Site and services, for the purposes of trying to operate, evaluate, improve and personalize our services or the Site;

  • to diagnose problems and to administer our Site, to provide customer service;

  • to enforce our agreements with you, or other applicable policies;

  • for any other business purpose, including fundraising and internal administrative and auditing purposes;

4. How We Share Information with Third Parties

Any information we gather, whether voluntarily provided by you or on your behalf, or automatically collected by us or our third-party service providers, will only be used for our internal business purposes, and we will not sell, rent, or disclose your information to any third parties, except as stated below.

  • Employees. We may disclose your Personal Information to our employees and independent contractors (such as camp counselors and coaches) who need to know the Personal Information in order to fulfill any of the purposes outlined in our Privacy Policy.

  • Service Providers and other Agents. We may share Personal Information with other trusted companies, our affiliates, and agents engaged by us to perform services on our behalf. Examples include: (a) maintaining our Site or our services, (b) managing participant, volunteer, and donor lists, (c) processing transactions and payments, (d) providing other marketing and promotional assistance, and (e) providing other services related to the operation of our business. VASFA’s current service providers with whom we may share your information include, without limitation, Qgiv by Bloomerang, Jumbula, Eventbrite, Squarespace, and Google. VASFA does not sell any Personal Information to any third parties, nor do we provide any Personal Information to any third parties for direct marketing purposes not directly supervised or authorized by us.

  • Legal Compliance. We may share Personal Information and any other information in our possession if we are required to do so by law or litigation, or we believe, in good faith, that such a disclosure is necessary to comply with the law, court order or other government or law enforcement agency, to defend or enforce our rights or property, prevent financial loss or physical harm, or to respond to an emergency situation or protect the rights, property or safety of others.

  • Corporate Transactions. We may share and/or transfer your Personal Information to VASFA affiliates or to a purchaser or successor entity in the event of a merger, restructuring, reorganization, transfer, sale, or other corporate transaction involving some or all of our business or our assets.

  • With Your Consent. We may share your Personal Information upon your consent or at your direction.

If you participate in VASFA’s services, provisioning of your Personal Information will be necessary. If you choose not to provide Personal Information, VASFA may not be able to provide services to you. For any other casual browsers, provisioning of your Personal Information is purely voluntary. You may use the Site without disclosing Personal Information, and we will not obtain such information about you unless you choose to submit it to us.

Submission of Personal Information through this Site authorizes VASFA and our employees to use such information as disclosed in this Privacy Policy.

5. How We Protect Your Information

We implement appropriate administrative, physical, and technical security measures, and have required our third-party providers with access to your Personal Information to maintain a level of security appropriate to the risk to the Personal Information collected, used, and/or processed. However, no security measures are one hundred percent secure, and the security of Personal Information transmitted through the internet cannot be guaranteed.

6. “Do Not Track” Features

Some web browsers have a “Do Not Track” feature that enables you to tell websites that you do not want your online activities tracked. If you turn on this feature in your web browser, your web browser sends a signal to the websites, ad networks, plug-in providers, and other web services you encounter while browsing the site to stop tracking your activity via cookies or other tracking technologies.

Our Site may contain links to other websites or services maintained or provided by third parties with which we have no affiliation. This Privacy Policy does not reflect the privacy practices of those third-party websites, and you should consult the privacy policies of those websites to learn about that party’s privacy practices. A link provided on our Site to any third-party website does not mean that we endorse that third party or the quality or accuracy of any information provided on that website.

8. Children Under the Age of 13

Children under the age of 13 may participate in our services with parental or legal guardian consent. VASFA will not knowingly solicit or collect Personal Information from a child under the age of 13 through the Site or use of our services without consent of, or unless provided by, the child’s parent or legal guardian. When a parent or legal guardian complete registration and/or scholarship forms on behalf of a child, we collect Personal Information about that child in order to provide our services. We will not collect more than reasonably necessary for the child to participate in our services. If you are a parent or legal guardian of a child under the age of 13 and believe we have inadvertently collected Personal Information of that child without your consent, please contact us at the address or email provided below so that we may delete that information. Your request must contain your child’s name, your name, your relationship to the child, your signature, and the date of your request.

9. Changing or Deleting Personal Information

We take reasonable measures to ensure that the Personal Information we store and use is accurate, complete, and up-to-date. If you discover that your or your child’s Personal Information is inaccurate, incomplete, or outdated, would like to change or delete your Personal Information, or if you have any questions, please contact us at the address or email provided below. Your request must contain your child’s name, your name, your relationship to the child, your signature, and the date of your request, as well as the information you are requesting to be updated or deleted.

10. Privacy Policy Updates

We may make changes to this Privacy Policy from time to time. The “Effective Date” or “Last Updated” legend at the top of the page indicates when this Privacy Policy was last revised. Any changes to our Privacy Policy will become effective when posted on the Site. We encourage you to read this Privacy Policy periodically to stay up to date with our privacy practices. Your continued use of the Site after any changes means that you agree to the terms set forth in our revised Privacy Policy. If we significantly change how we handle your Personal Information, we may provide more prominent notice or obtain your consent as required by law. If you do not wish to accept the changes, please cease using the Site.
